New student FAQs

Do I need to complete online registration?

New and returning students are required to complete online registration every year.

If you're a returning student, you won't need to create a new account. Just log in using your student ID number and password.

When should I complete online registration?

Your online registration will open approximately two weeks before your course start or course induction date.

At this time, you'll be sent an email from Bath Spa University inviting you to create an account and complete online registration. The email will be sent to the correspondence email address you provided at the point of application.

What will I need?

Completing online registration will take about 15 minutes, and you'll need:

  • Your six-digit Bath Spa student ID number, which can be found on any formal email correspondence from the University
  • A digital photograph (portrait/selfie) for your student ID card (JPEG file, 3MB max). To make it easy for you, this step can be completed on a smartphone using a photo from your camera roll.
  • Your bank account details (in order for the University to make any payment to you that you may be eligible for)
  • A valid credit/debit card to arrange payment of your fees (this will only be required if you're liable to pay fees or are waiting for your student finance to be confirmed)
  • A photograph of your government-issued ID to verify your identity

You won't need:

  • Your approval letter from Student Finance England, as we'll have confirmation of all funding approvals

Please note that if you have a sponsor other than Student Finance England, you'll need to provide a sponsor letter to fees@bathspa.ac.uk

Which types of government-issued ID can I upload?

In Step 3 of online registration you are required to upload a photograph of a government-issued ID in support of your enrolment. Although a passport or driver's licence is preferred, you may upload one of the following ID types:

  • Passport
  • Driver's Licence
  • Biometric Residency Permit *
  • Birth Certificate **
  • National Identity Card

* Please include photographs of both the front and rear sides of your BRP card.

** Adoption and Naturalisation certificates are also accepted.

Please ensure that the ID is in date.

Do not upload a photocopy or scanned image of your ID - it must be a photograph.

What if I forget my password?

If you've forgotten your password, please use the Self Service Password Reset Tool. Our short tutorial will help guide you through the process.

If you've forgotten your password before you've fully completed online registration, or think you may have been locked out of your account, please call the IT Service Desk on +44 (0)1225 876500.

What if I'm unable to complete online registration before I arrive?

To ensure a smooth enrolment process, we encourage all students to complete as many of the online registration steps as possible before arrival – particularly the student ID card section in Step 2.

However, if you're unable to complete online registration prior to your arrival, don't worry. If you have a question, please log a call on MyServices. If you haven't yet set up your student login details, please email studentregistration@bathspa.ac.uk. So that your query is solved as quickly as possible, it's helpful to include a screenshot of any issue you may be experiencing.

I'm unable to create an account

Online registration will open approximately two weeks in advance of your course start or course induction date. 

At this time, you'll be sent an email from Bath Spa University inviting you to first create an account (new students only). You'll be unable to create an account until you've received your welcome email inviting you to complete your online registration.

If you've received your online registration email and are having issues setting up your account, please email studentregistration@bathspa.ac.uk quoting your 6-digit Bath Spa student number and date of birth so that we can check that these details are correct on your record.

My funding hasn’t yet been agreed. What should I do?

If you've applied for a tuition fee loan and this isn't displayed on the Fee Summary section of online registration, the Fees Team may still be awaiting confirmation from Student Finance England/Wales/SAAS. Until the Fees Team receives confirmation directly from Student Finance, you're required to enter your Customer Reference number (this would've been provided when you commenced your online application). Although you'll be required to enter card data, the Fees Team will withhold any attempt to charge your card for six weeks from your course start date.

The Fees Team receives daily notification of approved fee loans via electronic download. If your tuition fee loan hasn't been confirmed, you'll receive notification from the Fees Team when the scheduled charge is due. At this point, you'll need to contact Student Fees at fees@bathspa.ac.uk if you have insufficient funds to make the payment.

Why do you need my bank account details?

You're required to leave your bank account details in the ‘Bank Account Details’ section of online registration in case we need to make a payment to you (such as the payment of an award, to reimburse you for expenses that the University has agreed to pay, or to refund monies). You won't be charged any payments from this account.

My fees are not as expected. What should I do?

If the fees showing in the Fee Summary section of your online registration are not as expected, please contact the Student Fees Team at fees@bathspa.ac.uk

My sponsor is paying my fees. What should I do?

If your fees are due to be paid by a private sponsor/employer, please email scanned evidence as soon as possible to fees@bathspa.ac.uk to avoid entering your card details during online registration. You'll need to do this before your enrolment deadline.

My Student Finance is in place. I have completed enrolment but have not yet received my maintenance loan. What should I do?

Please contact the Student Information team via MyServices and the team will be happy to check the status of your loan. If you don't have access to MyServices, please email studentregistration@bathspa.ac.uk.

When do I get my Bath Spa email address?

Your Bath Spa email address will be generated once you create an account in online registration. Details will be emailed to your personal email address, so keep an eye out for the notification. It may be worth checking your junk mail too if you don't think you've received the notification.

My name has changed. What should I do?

If your name has changed and no longer matches your official ID, you'll need to send a copy of your Marriage Certificate / Deed Poll document to the Student Information team via MyServices. If you don't have access to MyServices, you can email studentregistration@bathspa.ac.uk.

Where can I collect my student ID card?

As part of the online registration process, you'll be asked to upload a photo of yourself for your student ID card.

You're encouraged to complete this step as early as possible so that we can have your student ID card ready when you arrive. It's easy to do – you can even access online registration from your mobile phone and upload a photo.

If you're studying at a Bath Spa campus, please check where and when to collect your student ID card. ID cards for students studying at Partner Institutions will be posted to their offices for distribution.

What are my next steps?

New students will receive an email to confirm that their enrolment is complete once their government-issued ID has been approved.

International students will be informed if they need to attend an in-person enrolment session. You can find out more information on our enrolment arrangements page.

Returning student FAQs

Do I need to complete online registration?

All returning students, including students on a placement year, are required to re-enrol online either before the start of the new academic year or at the point of progression to the next level of study. You'll be able to log into your online registration using your existing student ID number and password.

You'll only be able to complete re-enrolment once you've received your invitation email. This will be sent early September for September starters.

At this time, you'll be sent an email from the University inviting you to complete online registration. The email will be sent to both your personal and Bath Spa email accounts.

Our Self Service Password Reset tool gives you the ability to change your password from anywhere at any time. As a returning student, you should have already registered your details for this. Please watch our short tutorial on how to reset your password.

I have outstanding debt. What should I do?

You won't be able to access online registration if you have outstanding debt from a previous academic year. You'll need to contact the Student Fees Team at fees@bathspa.ac.uk to set up a repayment plan in order to complete enrolment for the current academic year. You'll need to do this before your enrolment deadline.

Why do you need my bank account details?

Do I need to get a new student ID card?

Your student ID card can be used until the end of your course – just be sure that your course end date is accurate. There may be instances in which a new card is required. These include:

  • If you've taken a break in your studies or repeated a year, you may need a new card with an accurate course end date. A replacement ID card can be ordered from the Bath Spa AppHub. Bring your old card with you to have the £10 replacement fee waived. 
  • If your card has been lost, a replacement ID card can be ordered from the Bath Spa AppHub. A £10 replacement fee will apply.
  • If your card has been damaged or is faulty, a replacement ID card can be ordered from the Bath Spa AppHub. Bring your faulty/damaged card with you to your card collection point to have the £10 card replacement fee waived. 
  • If your card has been stolen, a replacement ID card can be ordered from the Bath Spa AppHub. A Crime reference Number is required to have the £10 card replacement fee waived.
